Woodland in the City
Artist & Sponsor Guidelines

Criteria

To be eligible to decorate a squirrel an artist must submit their resume for review. This will include two photos of previous artwork and a general idea of how you would transform a squirrel into a piece of art. There is no limit to the number of proposals, however it is unlikely that more than two (2) proposals from any one artist will be accepted. The project coordinator of Woodland in the City will notify artists and groups as to their acceptance or rejection by the Review Committee.

Design criteria call for creativity and artistry. The project will not allow any direct label advertising of a product or company name, libel, slander or social disrespect. Artists are reminded that this is a public display and all proposals must be appropriate for all audiences.

Artists are responsible for securing their own workspace. Artists will assume full responsibility for the sculpture during the creation process. Artists will work with approved mediums and finishes to assure the longevity of the artwork on the fiberglass surface. All materials must withstand climatic conditions, be safe and durable enough for the public to touch, and be permanent enough to resist removal by eager fingers.

Sponsor/Artist Concept Matching

Sponsors will choose an artist from the Portfolio of Accepted Submissions unless the sponsor has made prior arrangements with an artist or group. Regardless of how an artist is selected, a design proposal must be submitted for Committee approval. Once a sponsor/artist match has been made, a proposed design by the artist will be submitted to the Review Committee. The artist shall use the template provided by the Review Committee.

Open dialogue between the sponsor and artists is encouraged. Minor changes are anticipated. If a design changes radically from the initial proposal, these changes must be re-submitted for committee review before the process continues. Failure to submit changes could result in a reduced stipend to the artist and/or possible rejection of the completed form for display.

The Review Committee reserves the right to reject artists’ submissions as well as suggest changes to the proposed design.

No fiberglass form will be released to an artist without prior design approval.

Artist’s Commission

Once the Review Committee accepts a proposed design, the design will be submitted to the sponsor for final approval. Upon the sponsors’ approval, the artist or group will receive a stipend and the artist and the sponsor will sign agreements with the project committee.

Cost of material and supplies are included in the commission of $250.00. The commission will be divided into two payments: half upon signing of contract at time of sponsors’ approval and final payment upon delivery of finished form.

Ownership

The fiberglass form shall be owned by Woodland in the City Committee until the end of the auction. The artist who is hired as the creator of the design will share the copyright of the design with the sponsor and Woodland in the City in perpetuity, however, the artist and the sponsor cannot use the image of the design for commercial purposes until the event has concluded, such right being reserved by the Woodland in the City Committee during the event.

Woodland in the City shall have the right to reproduce and distribute the design or derivative of the design for purposes of promoting the event by all means and media, including the right to use the design or design derivative on a variety of merchandise that may as yet to be determined. No additional payment will be made to the artists for these rights. After the event concludes, the artist, the sponsor and the Woodland in the City Committee may use the image for commercial purposes, in perpetuity.
